The 10 Things We Wish Every Business Knew Before Choosing a Phone System

Choosing a business phone system can feel like a straightforward decision. Find a provider, compare pricing, choose your features, and get your phones installed.

But after working with businesses through the sales, project management, installation, and support process, we've learned that there's a lot more to the decision than features and monthly pricing.

The right phone system isn't simply the one with the longest list of features. It's the one that works for your employees, supports your customers, fits your business today, and can grow with you tomorrow.

So, from the teams at SpectrumVoIP who work with businesses throughout the entire process, here are 10 things we wish every business knew before choosing a phone system.

1. Don't Choose a Phone System Based on Features Alone

It's easy to get caught up in a list of features.

Auto attendants. Call queues. Mobile apps. Call recording. Text messaging. Analytics. AI. Integrations.

All of those things can be valuable, but the better question is:

What does your business actually need its phone system to do?

Start with how your employees communicate today. Who answers your main line? Which departments receive the most calls? Do employees work remotely? Do you have multiple locations? What happens when nobody answers?

A phone system should solve real business problems—not give you a collection of features that nobody uses.

2. Your Call Flow Matters More Than You Think

Before selecting a provider, think about what happens when someone calls your business.

Does the call go directly to a receptionist? Does an automated attendant route the caller? What happens after hours? What happens when everyone is busy? Can customers leave a voicemail or reach another department?

These decisions make up your call flow, and they can have a major impact on the customer experience.

A well-designed phone system should make it easy for customers to reach the right person without unnecessary transfers, confusing menus, or endless time on hold.

Before you choose a provider, map out your ideal customer journey from the first ring to the end of the call.

3. Ask What Actually Happens During Installation

One question businesses sometimes overlook is:

“What happens after I sign the contract?”

Installation isn't just plugging phones into desks.

Depending on your setup, there may be users and extensions to configure, call routing to establish, numbers to port, equipment to install, and settings to test.

Ask your potential provider who is responsible for each part of the process.

You should know who will coordinate the project, what information they need from you, how installation will work, and what happens if something doesn't go according to plan.

The smoother the implementation process, the less disruption your business is likely to experience.

4. Your Phone Numbers Are More Important Than You Think

For many businesses, their phone number is part of their identity.

It's on their website, Google Business Profile, business cards, advertisements, invoices, email signatures, and years of customer records.

That's why number porting deserves attention when you're switching providers.

Ask potential providers:

  • How does the porting process work?
  • What information do you need from us?
  • How long does the process typically take?
  • Who manages the port?
  • What happens if there is an issue?
  • What should we expect on the day of the transition?

A good provider should be able to clearly explain the process rather than leaving you to figure it out.

5. Think About the People Who Will Actually Use the System

A phone system can look perfect during a sales presentation and still be frustrating for employees.

Think about the people who will use it every day.

Your receptionist may need an easy way to see who's available and transfer calls. Your sales team may need mobile access and call history. Managers may need reporting. Remote employees may need to make and receive business calls from wherever they're working.

Different employees can have very different needs.

Before choosing a system, consider the actual day-to-day experience for the people who will be using it.

Technology should make their jobs easier—not create another system they have to learn how to work around.

6. Think About Where Your Business Is Going, Not Just Where It Is Today

Maybe you have 15 employees today.

What happens when you have 30?

What happens when you open another location? Add a remote team? Create a new department? Change your organizational structure?

Your phone system should be able to grow with your business.

Ask potential providers how easy it is to add users, locations, extensions, numbers, and features as your needs change.

A system that works for your business today is good.

A system that can continue working as your business changes is better.

7. Find Out What “Support” Actually Means

This is one of the biggest questions we recommend asking any phone provider.

“What happens when I have a problem?”

Don't stop at “We offer technical support.”

Ask what that actually looks like.

Who do you contact? Can you speak with a real person? What types of issues can they help with? Where is the support team located?

At SpectrumVoIP, our IT technical support team is based in Plano, Texas, giving our customers access to a dedicated team when they have questions or run into technical issues.

Because eventually, even the best technology can raise a question.

Knowing who will be there when that happens is an important part of choosing a provider.

8. Ask What Happens After the Sale

Your relationship with a phone provider shouldn't end when you sign the agreement.

There are several important stages between purchasing a phone system and successfully using it every day.

At SpectrumVoIP, that journey involves multiple teams.

Your sales team helps understand your needs and identify the right solution.

Your project manager helps coordinate the implementation and keep the project moving.

Our installation team helps get your system configured and in place.

And after installation, our IT technical support team is available to help with questions and technical issues.

When you're evaluating providers, ask:

“Who is going to take care of us after we become a customer?”

The answer matters.

9. Don't Forget About Your Customers

Your phone system isn't just an employee tool.

For many businesses, it's one of the first ways a customer interacts with the company.

Think about your own experiences calling businesses.

Have you ever been transferred multiple times? Sat on hold without knowing how long it would take? Navigated an unnecessarily complicated phone tree? Left a voicemail and never received a response?

Those experiences influence how customers perceive a business.

When evaluating a phone system, consider the customer experience just as much as the employee experience.

Ask yourself:

“If I were the customer calling my business, would I be happy with this experience?”

If the answer is no, that's something worth addressing.

10. The Cheapest Phone System Isn't Always the Least Expensive

Price matters. But monthly pricing doesn't tell the entire story.

Consider the bigger picture.

What will implementation cost? How much time will employees spend learning the system? What happens if you need technical support? How easy is it to make changes? What happens if your business grows? And what does downtime or a missed customer call potentially cost your business?

A system that costs less per month isn't necessarily the better financial decision if it's difficult to manage, difficult to scale, or difficult to get help with.

Instead of asking only:

“How much does it cost?”

Ask:

“What am I getting for that investment?”

10 Questions to Ask Every Phone Provider

We're a phone provider, so we're obviously not completely unbiased.

That's exactly why we think you should ask these questions of every provider you're considering—including us.

Before making a decision, ask:

  1. Who will be my point of contact during implementation?
  2. Who handles installation and configuration?
  3. How does number porting work?
  4. What happens if there is a problem during the transition?
  5. Where is your technical support team located?
  6. Can I speak with a real person when I need help?
  7. How easy is it to add employees and locations?
  8. What happens after installation?
  9. What costs should I expect beyond the monthly service?
  10. How will this phone system improve the experience for my customers and employees?

The answers can tell you a lot about the company you're considering.

Choosing a Phone System Means Choosing a Partner

At the end of the day, you're not just choosing phones.

You're choosing the technology your employees will use every day, the system your customers will interact with, and the team you'll rely on when you need help.

That's why we believe the experience surrounding the technology matters just as much as the technology itself.

At SpectrumVoIP, our goal is to support businesses throughout the entire journey—from the initial conversation with sales, through project management and installation, and into ongoing technical support.

The right phone system should work for your business. And the right provider should be there to help you make it work.
